Udhar on WhatsApp: keep the khata straight and send the bill to the customer’s phone

StoreDesk is free for as long as you use it: unlimited bills, GST invoices, stock and khata on the Free plan, which never expires and shows the last 30 days of history on screen.

Udhar is where a shop loses money without noticing: a notebook entry nobody added up, a part payment written on the wrong page, a customer who says they paid last week. StoreDesk keeps one khata for every customer, adds to it the moment you sell on udhar, and takes it down the moment they pay.

Write the udhar down the moment you sell

On the bill, choose Udhar as the payment and type the customer’s name and phone number. That is the whole entry. The same works for a quick counter sale and for an order taken for later — every one of them lands in the same khata, under the same customer.

If the customer pays part now, type what they handed over. The rest stays as udhar, and the bill shows both: what was received and what is still due.

You can set an udhar limit for a customer. When a sale would take them past it, the counter tells you before you save. The sale still goes through if you want it to; the limit is a warning, not a lock.

When the customer pays

Open Khata, find the customer and record the payment — cash or UPI. A payment belongs to the customer, not to one bill, so it clears their oldest udhar first. Before you save, the sheet shows which bills the payment will clear, so you and the customer can agree on it at the counter.

Picked cash when it was UPI? You can correct the mode afterwards. The amount stays exactly as it was recorded, so the day close can still be trusted.

Send the bill on WhatsApp

Every bill has its own link. Tap WhatsApp on the bill: your own WhatsApp opens with the message and the link written for you, and you press send. StoreDesk never sends a message by itself, and it cannot see whether a message was delivered — your WhatsApp shows that.

The customer opens the link on their phone and sees your shop’s name, the items, the total and what is still due. Once you add your shop’s UPI ID in Settings, the link also shows a Pay button that opens the customer’s own UPI app, and the PDF carries a scan-to-pay QR for the amount still due.

The money goes straight to your bank account; StoreDesk never touches it and takes no fee. UPI does not tell the app when money arrives, so check your own payment app before you mark the bill paid.

Bill links on WhatsApp are on every plan, including Free.

Reminders and old udhar — on Pro

On Free, Khata shows who owes you and how much. Pro adds the machinery for chasing it:

  • a one-tap WhatsApp reminder, written in the customer’s language — English, Hindi, Odia, Marathi or Bengali — with the amount in plain figures;
  • a statement link the customer can open, with their bills and payments in one place;
  • udhar marked by age — 30, 60 and 90+ days — so the oldest money owed stands out.

Bring in the old notebook

Nobody starts with an empty khata. On every plan, including Free, you can enter what each customer already owes as an opening balance on their card, one customer at a time. On Pro you can bring a whole notebook in at once, from a photo of its pages or from a spreadsheet, and nothing read from a photo is saved until you have checked it line by line.

Free and Pro

Free never expires and never limits your bills. Pro is ₹199 a month or ₹1,999 a year, and adds your full history, reports and profit, udhar reminders and a staff login.

Try Pro free for 30 days from inside the app — no card and nothing charged. It ends on its own and your shop goes back to Free, with nothing deleted.
